Rachael Heade, Microsoft Director of Records Compliance, emphasized that recordings and related artifacts constitute company data and therefore create retention, privacy, storage, access, and records-management considerations. Microsoft’s internal retention periods described in this article are Microsoft policy decisions. They are not universal Microsoft 365 defaults or recommended retention periods for other organizations. Microsoft documentation states that outbound calls made by Call Queue representatives require an assigned compliance recording policy and are treated as outbound user calls rather than queue recordings. Compliance-caliber recording does not automatically make an organization compliant. Compliance depends on the organization’s policies, configuration, regulatory obligations, operating procedures, and other controls. WHY THE DISTINCTION MATTERS FOR AI AI creates another potential use for controls originally associated with compliance and records management. When recorded conversations become inputs to AI or analytics systems, organizations may need to determine: Which interactions were captured. Which interactions should have been captured. Who may access the resulting information. How long the information remains available. Whether the source can be retrieved later. How the record was handled. Which downstream systems may receive or use the information. These controls create a more controlled and traceable source environment. They do not guarantee that an AI system will produce an accurate answer.
